How Often Should an Office Be Professionally Cleaned?
Frequency is driven by headcount, foot traffic, and restrooms — not square footage. A practical way to work out what your office actually needs.
3 min read
The most common mistake in scoping office cleaning is starting from floor area. A 4,000 square foot office with six people in it and one restroom generates far less cleaning work than a 2,000 square foot office with thirty people, two restrooms, and a steady stream of visitors. Frequency should follow use, not size.
The three factors that actually decide frequency
1. Headcount and density
People generate the work. Desks, shared surfaces, kitchens, and restrooms all scale with the number of people using them daily. A rough rule: the more people per square foot, the more the frequency needs to increase regardless of how large the space looks.
2. Whether clients or the public come in
An internal-only office can tolerate a standard that a client-facing reception cannot. If visitors form an impression of your business in your space, the entrance, reception, glass, and visitor restroom effectively need to be presentable every working day — which usually pushes frequency up even when headcount is modest.
3. Restroom count and usage
Restrooms are the single most frequency-sensitive part of an office. They are also the area where falling behind is most visible and least forgivable. In practice, restroom requirements often set the schedule for the whole building.
A practical starting framework
These are starting points for a conversation, not rules. The right answer comes from looking at a specific space.
- Small office, under about ten people, no public visitors: weekly is often enough, with restrooms the thing to watch.
- Office with regular client visits: two or three visits a week, so reception and restrooms never drift.
- Busy office, higher headcount, shared kitchen and multiple restrooms: several visits a week to daily.
- Client-facing premises where presentation is part of the offer: daily, usually outside operating hours.
Split the routine from the periodic
Not everything belongs on every visit. Trying to fit interior glass, detailed floor care, and inside-appliance work into a recurring visit is what causes those tasks to be quietly dropped when time runs short.
A cleaner structure separates the two: a routine scope that happens every visit — restrooms, bins, high-touch points, floors, kitchen surfaces — and a periodic scope on its own interval, typically monthly or quarterly.
What to do next
The most reliable way to set frequency is a walkthrough, because it surfaces things a floor plan does not: where traffic concentrates, which floors show wear, how the kitchen is actually used. We look at how the space is used before recommending a schedule, and we check in afterwards to adjust it.
